Terms & Conditions

Ground Experiences 

Walk or Ride experiences 

- This includes wine tours, silo art tours, national park tours, any tours that include walking to ridding in a vehicle. 

- All advertised experiences will operate with at least two people booked.

- We can operate many of our tours on days that are not advertised by request with 5 or more people - email email us your request.

- Cancellations made within 72 hours will result in forfeiting payment.

- Cancellation between 72 and 7 days before departure will receive 50% refund.

- Cancellations made with 8 or more days notice will receive full refund.

- All private experiences have different requirements please see the information relating to that experience. 

- All custom tours with more than 10 passengers, deposit is required at the time of booking to secure the date. The full amount for the experience must be paid 7 days before departure date. Any decrease in numbers or cancelations at the time of booking will not result in any refunds.

Fly Experiences

Grampians Helicopters

- Passengers must not weigh more than 136kg individually 

- Combined passengers weights for a flight do apply and can vary depending on flight - an approx. maximum range is between 280-320kg

- If a flight is cancelled by us due to weather or any reason you can move the date and time, receive a gift certificate to book in at a later date or receive a full refund.

Security Policy 

When booking and paying online

When purchasing online with Experience the Grampians you can op to pay via stripe which uses the latest 128-bit SSL encryption. When opting to pay PayPal - those payment details never reach us and you can view PayPals online security commitment here

Refund Policy

What happens if we or you cancel

- If we need to cancel for any reason then a full refund will be provided. This may be due to illness/short staff or extreme weather events. (These situations are very rare with about 1 tour per year on average that will be cancelled)

- If you wish to cancel: Cancellations made within 72 hours will result in forfeiting payment.

- Cancellation between 72 and 7 days before departure will receive 50% refund.

- Cancellations made with 8 or more days notice will receive full refund.

- If you wish to cancel a privately booked experience your deposit of $100 per vehicle is lost and if canceling 7 days before the experience the full amount of the tour  is lost.

Gift Certificate Policy

For all experiences 

- As per Victorian government guidelines all out gift certificates are valid for 3 years/36 months. 

- Gift certificates are non-refundable, not redeemable for cash but are transferrable - however the purchaser must advise Experience the Grampians prior to booking in order to transfer.

Gift certificate must be presented at the time of experience, without it you are unable to participate.

- Treat your gift certificate like cash as lost or stolen gift certificates are non-refundable and no replacements are available. 

- If you wish to upgrade your experience you can pay the difference to make this happen, when the value of the experience is less than the gift certificate you will not be entitled to a cash refund.

We are dedicated to keeping your details private. We will not provide your details to any other organisation or individual.

How to make payment for an experience 

- You can book and pay online via either payment system of Stripe or PayPal.

- You can phone us and pay over the phone in full with your card.

- You can request our direct deposit details and pay via bank transfer 

- You can visit us in person at our office at Stawell Airport

- If you wish to pay cash on the day, a deposit of 20% will still need to be made prior to the experience. 

Children / under 18 years 

Can children join a tour?

- Generally yes, however some tours are not suitable for younger people and always best to email us your question.

- When booking the option for child is available - please use this option. We still need to charge for a child even if they are not consuming the same as an adult because they are occupying a full paying seat. 

- If booking a private tour and no general public will be onboard then we are happy to accommodate all children ages. 

- All team members do have a "working with children" card.
